The operating job in one sentence

A food, beverage or agriculture business commits ingredients, labour and shelf space to a perishable product before demand is known, then has to prove afterwards which batch went where if a quality question ever arrives. Every other system question follows: what was forecast, what was made, where it travelled, and who can be told.

The workflows a project touches

A first project cuts into this sequence. Scope which steps it owns before choosing software.

  1. Demand and production forecasting. Sales history, seasonality and promotions become a purchase and production plan for each outlet or line, instead of a manager's guess.
  2. Specification and allergen management. Ingredient specifications, allergen declarations and nutritional data are held per product, not re-typed from a supplier's paper sheet each time.
  3. Procurement and goods receipt. Raw ingredients are ordered and received against specification, expiry and a named supplier lot.
  4. Batch or lot production. A lot number is assigned at production and carries forward, linking every output back to the ingredient lots that went into it.
  5. Quality and compliance checks. Temperature, allergen-cleaning and hygiene checks are logged against the batch at the moment they happen, not reconstructed later.
  6. Warehousing and multi-outlet distribution. Stock is routed to franchise outlets, retail store chains or trading partners against forecast demand and shelf life.
  7. Traceability and recall. One batch is traced forward to every outlet it reached and backward to every ingredient lot within hours, not days.
  8. Franchise and distribution reporting. Sales, waste and stock across every outlet consolidate into one record, reconciled against what head office expected.

Steps 3, 6 and 8 share mechanics with any ERP-run back office, in ERP and back-office operations. Once stock reaches a shop counter the selling workflow itself belongs to retail, commerce and marketplaces, and the physical movement between a plant, a warehouse and an outlet is the logistics and transport workflow; this page stops at producing, specifying, batching and reporting the product.

Where does AI change the workflow, and where does Netbase take it on?

Data and regulatory constraints

Three constraints reshape the data model before any feature is designed.

  • Traceability recordkeeping is a named legal requirement in major markets; ask your own regulatory adviser which rule applies. In the United States, the FDA's food traceability rule sets recordkeeping requirements for designated high-risk foods, with a compliance date the agency has since proposed extending (FDA, accessed 2026-10-02). In the EU, the General Food Law (Regulation (EC) No 178/2002) requires food and feed businesses to identify who supplied them and who they supplied, one step back and forward, at every stage (EUR-Lex, accessed 2026-10-02).
  • Allergen and specification data is safety-critical, not administrative. A wrong or stale allergen record is a recall trigger, so the record needs an owner and a change-approval step, not a shared spreadsheet.
  • Franchise and trading-partner contracts restrict what data moves where. What a franchisee may see about another outlet is a contractual question before it is a technical one.

The usual integrations are an ERP such as Odoo, a point-of-sale or franchise reporting system per outlet, a warehouse or inventory system, supplier EDI or portal feeds, and a lab or quality-management system, each with a named owner and a defined behaviour when it fails.

Delivery risks specific to this sector

  1. There is no pause between production runs

    A perishable product cannot wait for a system freeze, so plan a parallel run and a per-outlet rollback, not a cutover weekend.
