Privacy Notice

OutsourcingVN is operated by Netbase JSC. This notice explains what personal information we receive through outsourcingvn.com, why we use it, how long we keep it, who can access it and what rights you have. It applies to this website, to its contact and project request forms, and to enquiries sent to us because of it.

1. Who is responsible for your data

Netbase JSC, headquartered in Hanoi, Vietnam, is the controller of personal information collected through OutsourcingVN. For any privacy question or request, email [email protected] or call +84 937 869 689. Privacy requests are handled by the Netbase owner responsible for privacy decisions.

2. What we collect

Information you send us. You can reach us through the forms on the contact and submit a project pages, by email, by phone or on WhatsApp. The forms ask for your name, email address, company, country, project type, timeline and message, and optionally a budget range; the contact form also asks for a subject and, optionally, a phone number. By email, phone or WhatsApp we receive what you choose to include.

How form submissions are handled. When you send a form, the website stores the submission in its administration database and emails it to the Netbase mailboxes [email protected] and [email protected]. Your IP address is not saved with the submission. It is used only in rate-limit counters that protect the forms against abuse and expire within 24 hours, and it appears in the security logs described below.

Technical information. When you visit the site, our hosting and security infrastructure processes technical data such as your IP address, browser type, requested pages and timestamps. This is needed to deliver pages, keep the site secure and investigate faults.

What we ask you not to send. Please do not email payment-card details, passwords or other access credentials, identity documents, or sensitive personal data such as health information. If a project later needs confidential material, we agree a suitable secure channel with you first.

3. Cookies and analytics

The site sets the cookies it needs to run, such as a session cookie and a security token that protects the forms against forged requests; analytics and live-chat cookies are described below. The chat button on every page opens a live chat window provided by Cloodo (api.cloodo.com); its script is served from Amazon S3. The window and its script load when you select the button or, on larger screens, once the page has been idle for a few seconds, and Cloodo then receives your IP address and browser details and may set the cookies the chat needs to work. Messages you send in the chat reach the Netbase team. If your browser does not run JavaScript, the button is instead a plain WhatsApp link that loads nothing until you select it, and WhatsApp's own terms and privacy policy then apply. The site does not use advertising cookies. The site uses Google Analytics 4 (measurement ID G-E1YLR22N4X, operated by Netbase JSC) to count page views and see which pages help visitors. It is loaded only after you accept analytics cookies in the cookie banner, and Google Consent Mode keeps every storage type denied until then. You can change or withdraw that choice at any time from the cookie preferences dialog. Personal details and project descriptions are never sent to analytics tools.

4. How we use your information

• to read, qualify and reply to your project request, brief or question;
• to prepare a discovery plan, proposal or a no-fit reply you asked for;
• to keep a record of the enquiry and of any privacy request;
• to operate, secure and fix the website.

We do not use your enquiry for newsletters or marketing lists, advertising audiences, automated profiling or training AI models. We do not sell or rent personal information.

5. Legal bases

Where data protection laws require a legal basis, we rely on taking steps at your request before a possible contract, and on our legitimate interest in responding to business enquiries and keeping the site secure. The checkbox on our forms confirms that you have read this notice and asks us to reply; it is not a marketing permission. Where a law requires your consent for a specific use, we ask for it separately, and you can withdraw it at any time.

6. Who can access it

Only authorised Netbase staff responsible for sales, project review and administration read project enquiries. We share information only with service providers that help us run the site and our business, and only as far as needed:

• our website hosting provider;
• Cloudflare, which provides content delivery and security for the site;
• our business email provider, which carries and stores email sent to our addresses, including the copies of form submissions;
• Cloodo, which provides the live chat window, if it loads on a page you visit or you message us there;
• WhatsApp (Meta), if you choose to message us there;
• our internal customer-relationship workspace, if your enquiry becomes an active sales opportunity.

We may also disclose information when the law requires it, or to protect our rights, our users or others.

7. International transfers

Netbase is based in Vietnam and works with clients in many countries. Your information is handled in Vietnam and may be processed in other countries by the providers listed above. Where information moves across borders, we rely on those providers' contractual and security safeguards and apply the protections described in this notice.

8. How long we keep it

• Open enquiry: up to 180 days after the last substantive conversation, then closed and erased.
• Declined, duplicate or spam enquiry: 30 days after it is closed.
• Enquiry that becomes a project: the enquiry copy is kept for 90 days after the project hand-off; project records are then governed by the contract.
• Record of a privacy request: 365 days after the request is closed.
• Form submissions in the website database and their email copies: the same periods as the enquiry they belong to.
• Security and application logs: 30 days.
• Encrypted backups: expire automatically after 35 days.

9. Your rights

Depending on the law that applies to you, you may ask us to confirm whether we hold information about you, give you a copy, correct it, delete it, or restrict or object to its use. You may withdraw a consent you gave, and you may complain to your data protection authority.

To make a request, email [email protected]. We will confirm your identity through the address you used or another proportionate check before acting, record the request, and tell you when it is complete. If we cannot fully act on a request, for example because the law requires us to keep a record, we will explain why.

10. How we protect it

The site is served over HTTPS. Access to enquiries is limited to the people who need it, and administrative access is controlled by role. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we will notify you and the relevant authorities where the law requires it.

11. Children

OutsourcingVN is for businesses and professional users. It is not directed at children, and we do not knowingly collect their personal information.

12. Other websites

Links to other websites are provided for convenience. Their owners are responsible for their own privacy practices.

13. Changes to this notice

We will update this notice when our practices change, for example if we add or remove a measurement tool. The effective date at the top will change, and material changes will be highlighted on this page.
